Gym Master, developed by iT-Capsule Automations, is committed to protecting your privacy. This policy explains the data we collect, why we collect it, and how it is used within the Gym Master apps and services.
1. Information We Collect
We only collect data required to operate the app, maintain your membership, and provide fitness-related features.
Required:
- Name
- Email address
- Phone number (for OTP login)
- Password (securely encrypted)
- QR codes for gym check-in
Optional (for personalization):
- Gender
- Date of Birth
These optional fields are used only to improve workout accuracy, calorie calculations, and health insights. Users may choose to skip providing this data and still use the app normally.
Additional Optional Data:
- Profile photo (if uploaded)
- Medical info (conditions, allergies, etc.)
- Height / Weight / Measurements
- Workout history and fitness progress
2. Apple Health Data (Read-Only)
With your permission, Gym Master may read certain Apple Health data to provide accurate activity and progress insights. We may read:
- Steps
- Active calories burned
- Heart rate
- Distance walked or run
- Workout summaries
We DO NOT write any data to Apple Health unless explicitly enabled by you.
No Health data is shared outside the device.
3. How We Use Your Data
Your information helps us provide:
- Secure login & authentication
- Gym membership management
- Workout scheduling & tracking
- QR check-ins at gyms
- Personalized training plans
- Health analytics & progress charts
- Notifications such as membership reminders
We do NOT:

❌ share data for advertising
❌ use your information for tracking across apps or websites
4. Sign in With Apple
If you choose to sign in using Apple, we receive only:
- Your name (optional)
- Your email or Apple’s private relay email
Apple does not share any tracking or usage data with us.
5. Camera Permission
We access your camera only when you choose to:
- Take a profile photo
- Scan QR codes for gym check-ins
Your camera is never used for background tracking, monitoring, or any non-visible activity.
6. Data Security
We use encrypted communication (HTTPS), secure servers, and strict protections to safeguard your data. Passwords are stored using strong hashing algorithms and are never visible to anyone—not even us.
7. Your Rights & Control
You may at any time:
- Update personal information
- Delete optional data (gender, DOB, medical info, etc.)
- Request full account deletion
- Request a copy of your stored data

8. Third-Party Services
Gym Master may integrate with secure third-party providers, such as cloud hosting, SMS/OTP gateways, and payment processors. These providers follow their own privacy policies.
9. Payments (PayHere Checkout API)
Gym Master uses a secure payment processor to accept online payments. Payments may be processed via PayHere using their Checkout API. All payments are confirmed by the payment provider before access is activated.
Important: Subscriptions in Gym Master are manual renewals. This means we do not automatically charge you for future periods. To continue using paid features, you must renew and pay again at the end of your plan period (monthly or annual).
10. Refund Policy (Digital Subscriptions – Manual Renewals)
Gym Master offers subscription-based services for Gym Owners, Coaches, and Staff. Services are delivered digitally, and access is granted after successful payment confirmation.
10.1 Refund Eligibility
- Subscription fees are generally non-refundable once access is activated.
- Refunds may be considered for duplicate charges, billing errors, or major service unavailability caused by our systems.
- Approved refunds will be processed back to the original payment method used. Bank/payment processing times may apply.
10.2 Non-Refundable Cases
- Partial use of a subscription period
- Change of mind after activation
- Failure to use the service during the paid period
- Account issues caused by sharing login credentials or misuse
